The Problem

The n8n workflow monitors Google Calendar in real-time. Twenty-four hours before any scheduled 1-on-1, the system triggers automatically with zero manager input. It identifies the direct report by parsing the calendar event metadata: name, meeting title, recurring patterns. Zero manual initiation.
Stage 2: Historical Context Retrieval
The workflow connects to Google Drive and retrieves all previous 1-on-1 notes for the specified direct report, covering 1, 3, 6, or the full available history. It does not just reference the documents, it extracts the actual text content for deep analysis. Eliminates the manager's need to ever open a historical document manually.
Stage 3: AI-Powered Pattern Analysis
The extracted conversation history feeds into an AI analysis layer that identifies recurring themes and unresolved concerns, commitments the manager made in previous sessions, career goals and development areas mentioned across multiple conversations, emotional patterns and engagement trajectory shifts, and topics that keep surfacing without resolution. This is contextual understanding, not keyword matching.
Stage 4: Prep Sheet Generation & Delivery
The AI synthesizes its analysis into a clean actionable coaching prep document: concise summary of the last conversation, follow-up questions on unresolved topics, suggested coaching questions aligned with leadership frameworks, recommended development actions based on the employee's trajectory, and continuity reminders. Twenty-four hours before the 1-on-1, the prep sheet delivers directly to the manager's inbox or Slack channel.
